FleetAnalytix

Web-based analytics platform and mobile app, built for FleetLogix

Visit FleetAnalytix

Mission

To build a highly scalable solution that addresses FleetLogix's business processes in phases, helping them measure, manage and automate their workforce and resources, with a customer-facing interface.

Problem

FleetLogix was experiencing a gush of growth that required automation of their processes in the shortest possible time, in a system that could still grow with their increasing needs. They entrusted arroWebs with building a system efficient enough to mobilise their current business process, and a website with portals for inter-organisation and customer needs.

Solution

We partnered with FleetLogix to help their business grow, looking at every aspect of their business process to manage resources. A customer portal and an intra-org web portal were built, connected through APIs to external systems, with mobile data collection feeding them from the field. That platform is now FleetAnalytix.

Mobile data collection

Robust, user-friendly mobile scanning devices put data-collection best practice in the hands of front-line employees: single-touch multiple-choice selections and a single-tap barcode scanner. Each device can also log items customers have left behind and damage found on a vehicle, with a photo, and upload them wirelessly to the portal, recording who logged it, where and when.

The Where's My Car tool answers “where is car XYZ?” — enter a vehicle ID and see who, when and where for every scan of that vehicle.

Customer portal

Portal authentication is secured with Google accounts through OAuth. FleetLogix customers typically have multiple sites where different activities are carried out; the customised portal lets them monitor work productivity at each site from anywhere, at any time. Other salient features include:

  • QuickBooks integration for generating, managing and mailing invoices
  • Issue resolution, so a customer can log issues at any of its locations and have them addressed
  • A list of top performers at each location
  • A visual dashboard giving a site-wide view of weekly and monthly productivity and expenditure, for informed decisions

Intra-org web portal

The intra-org portal helps managers monitor and supervise the business process at different sites.

  • Different user roles and capabilities
  • Reports of worker hours spent on a particular activity each week, and benchmarks achieved
  • Managers can add an activity or view the activity log of all employees at a site
  • Internal documents stored securely with an Amazon S3 integration
  • Single sign-on with Google Workspace automatically connects users to relevant documents and other line-of-business systems

Events CRM

Custom CRM for Expotrade

Visit Events CRM

Mission

Build a powerful, customised customer-relationship-management system tailored to the event-management business functions of Expotrade, with exhaustive reporting and analytics.

Problem

Expotrade's event-management functions could not be mapped onto off-the-shelf CRM systems. The uniqueness of how they handled business entities, the sheer volume of data and, in turn, the complex reporting required a purpose-built solution.

Solution

arroWebs and Expotrade designed and developed a custom CRM from the ground up when off-the-shelf systems were not meeting the business requirements. A business-specific application with high flexibility delivers greater improvement to the business and couples tightly to the company's best practices and processes.

Web application

Deep understanding of all aspects of the CRM system, combined with strong technical expertise, enabled us to deliver a CRM fully customised to Expotrade's requirements and business specifics. Events CRM lets the sales team and administrators manage:

  • Lead tracking
  • Contacts and accounts management
  • Campaign management and tracking
  • Team management and task distribution
  • Sales history and financial projections
  • Email marketing
  • Data analysis and multi-level reporting
  • A user-friendly, easy-to-navigate interface

Private offices, Texas

Website, custom CMS and online leasing for a private-office and coworking operator

Mission

Give a fast-growing private-office operator one website that sells every building it owns, books tours, takes membership applications online, and that its own marketing and leasing teams can keep current without a developer.

Problem

Every property has its own address, photos, video, virtual tour, floor plans, amenities, flyer, booking link and membership options, and all of it changes as suites are let and new buildings open. Marketing wanted to swap banners, promos and offers week to week; leasing wanted applications arriving complete, with ID attached, in the right city's inbox. A general-purpose CMS would have left most of that in free-form page content, and the image library had outgrown what a shared host could serve.

Solution

A custom CMS in which a property is a first-class content type, with everything a prospective member needs on one page; a guided member application that validates, attaches the applicant's ID and routes to the right team; media that is stored once and served from S3; and a staging-to-production pipeline so small changes ship weekly without risk. The engagement is ongoing.

One property type, many buildings

Rather than a page per building, the CMS has a property record with its own fields: address and map coordinates, location highlights, gallery, video, up to four floor plans, on-site and walkable amenities, a downloadable flyer, membership options, virtual tours and the booking link for that city. Each city's listing page and the locations map are generated from those records, so adding a building is a form, not a rebuild.

Around it sit the usual content modules the team edits themselves: pages, menus, widgets, FAQs, blog, press, team profiles, redirects and site settings. The homepage promo band and the membership options on offer are data too, which is how a month-to-month campaign went live without touching code.

  • Pan-and-zoom floor plans, with titles and columns configurable per property
  • Matterport virtual tours and Wistia video, with a placeholder when a building's video is still in production
  • Membership options and a day-pass link to the operator's space-management platform, shown only where offered
  • A GeoJSON feed of properties for the locations map, filtered by city

Tour, reserve and apply without leaving the page

Every property page offers a tour booking through the city's Calendly, a reserve-a-space enquiry and the full member application. Enquiries are protected with reCAPTCHA, stored with the visitor's details, emailed to the city team and acknowledged to the sender.

The member application is the long form a lease needs: business and contact details, suite and term, present and prior offices, rental history, guarantors, disclosures and a signed certification, plus an uploaded driving licence checked by file type. Validation errors return the applicant to the form with everything they typed preserved, and a progress indicator keeps the length honest. Submissions land in the admin with the attachment, can be exported to CSV, and if an email ever fails to send the team hears about it in Slack.

Media that scales past the server

Property galleries run to thousands of images. Uploads are stored under content-addressed directories, thumbnails and crops are generated for each size the templates use, and a cron job moves originals and derivatives to S3 in small batches, flagging each file as it goes. Templates read that flag, so a page serves from S3 when the file is there and from the server until it is. Separate jobs compress oversized files and regenerate thumbnails when a template's sizes change.

Shipping weekly, safely

The repository deploys itself: pushes to the develop branch sync to a staging copy of the site, pushes to main go to production, both over SSH with media, logs and server configuration excluded. The code detects whether it is running locally, on staging or in production, so the same build works in all three, and a documented routine refreshes staging and local copies from a production database dump with the right URLs and email settings swapped.

That pipeline is what makes the engagement work. Since taking the site on we have shipped a steady stream of small releases: iPad layout fixes, hero and navigation refreshes, new membership options, new floor-plan layouts, application exports, and the day-pass integration, each tested on staging first.

  • GitHub Actions deployment: develop to staging, main to production
  • Environment detection and a documented database-refresh procedure
  • reCAPTCHA on every public form, and Slack alerts for mail failures
  • Ongoing maintenance and feature work on a retainer
